How do I Book?

You will receive a confirmation of details with your deposit. 2 to 3 weeks before your preferred date you will be charged the full amount of your booking. Your personalized details will be sent to you once your payment is confirmed. Because of the unique nature of each event, we do not offer mock ups of styling. Your vision is of the utmost importance to us - so please feel free to share any inspiration, Vibes + mood boards that feel like magic. We can't wait to create with you! We love details big + small, so don't hesitate to share anything we can do to make your day effortless.
What can I expect?
Your host will wait for you at your gathering. Upon your arrival, they will excuse themselves. You are free to enjoy your experience. At the end of your allotted time your host will arrive to relieve you of any rental responsibilities + pack up.
Can I book last minute?
A minimum of 48 hours advance notice is needed for PRIVATE locations that do not require permits. For all other locations we recommend booking a minimum of 2 to 3 weeks out (especially weekends) to allow time for proper permitting. We take reservations for booking 3-6 months in advance - follow newsletter for openings and giveaways
For Safety + Coordination, we require locations to have access to parking within 100 yds of intended gathering unless otherwise discussed.
Food + Bev
Please visit our FOOD + BEVERAGE page to see our recommendations from local businesses. When booking, please mention your will be booking with MAMA PICNIC CO + your name + event location + arrival time - they will deliver your preferred selections 15 mins before your start time so everything may be plated and ready for your enjoyment.
Arrival
We ask that you show up within 15 minutes after your scheduled start to meet your host. They will come back at the end of your scheduled time.
Late Fees
$45 for 30 mins past your start time. $15 for each additional 10 minutes past that. We reserve the right to pack up the gathering without a refund.
Early Departure
Please allow at least 30 mins. for our host to arrive back at your gathering.
You are responsible for all rentals until the host arrives.
Bad Weather
Lucky for us, sunshine is the standard here in SoCal. If we determine there to be unfavorable weather conditions we will offer the option to reschedule your day. Should you so choose, you may also be offered a credit for future use.
All bookings must be rescheduled within 3 months.
Permits
Yes, all gatherings held in Ventura + Santa Barbara must have permits unless held at a private location or residence. Please allow at least 2 weeks for proper processing. Dependent on availability.
Alcohol
We do not supply, deliver, or sell alcohol. Alcohol may not be consumed on beaches in Ventura + Santa Barbara Counties. Wine + Beer *may* be consumed in The Mission Rose Garden Location . We do not assume any responsibility for the consumption, use of alcohol + or citations incurred during use of rentals.
Changes + Cancellations
We require a 50% non refundable deposit at the time of all bookings. The remainder of your balance will be due no less than 2 weeks before your planned gathering. We are happy to make changes, alterations, or amendments to your booking any time prior to your final payment. Bookings canceled with 3 or fewer weeks notice will incur a 75% booking fee. No refund will be made after final payment. Orders fulfilled by preferred vendors are still subject to full payment. When rebooking your event, these will need to be reordered at cost.
Damages + Late Fees
We require a Credit Card Authorization for:
Damages including but not limited to missing or broken items
Late Fees: 0-15 mins free, 15-30 mins will incur a $45 fee $15 for each additional 10 minutes past that. We reserve the right to pack up without a refund.
Negligence: if clients leave rentals unattended they are considered liable for full cost of all missing, stolen, or damaged items and will incur a $100 surcharge.
